G Drive Archive

What is the G: drive archive?

The Griffith G: drive is a network storage drive used for sharing documents between staff and departments.

To save space, the G: drive archive was created in 2016 to store documents that had not been modified in the previous two years (e.g. since 2014).

What is happening?

The G: drive archive is now reaching end of life and is being decommissioned on 31 October 2024.

The Griffith G: drive network storage is not affected by this change and you will be able to continue using this service as normal.

What do I need to do?

Files stored in the archive will not be available after 31 October 2024.

To prepare:

1. Open the G: drive and review all files you have access to. Note that the files stored in the G: drive archive have reached the end of their retention period in line with Griffith information and retention policies and should only be retained if they:

are relevant to your ongoing work at Griffith
are likely to be required at a future time
should be retained for compliance purposes.

2. If you determine that these files should be retained, copy these files to another location such as your personal OneDrive or relevant SharePoint or Teams SharePoint site. View these guidelines to assist with deciding where to save files. The Retention and Disposal app may be able to assist you with determining the retention periods for documents at Griffith if you are unsure.

Why is the archive being decommissioned?

The archive is being decommissioned as part of Digital Solutions’ information management activities. The age of the files stored in this service are not in accordance with Griffith’s Information Management and retention policies, and retaining the G drive archive creates both a security risk and a financial burden.
