Click the link in your worklist email, or Griffith Portal, choose Worklist and Reports, Worklist.

Application summary page

1 Applicant details Applicant name and application ID. Includes link  for contact details.
2 Application program Identifies the selected program, including campus, admit term, internal application number, academic careers, full-time or part-time load, and application submission date.
3 Candidature application Identifies the proposed start date, research topic title and whether the candidature will be undertaken remotely.
4 Application summary Select View Application to view full application –opens in separate tab.
5 Supporting documentation Click the links to view attached documents. Note: Referee reports are not visible to the candidate.
6 Griffith stud View unofficial transcript for applicants who have studied at Griffith University. (The transcript may take a couple of minutes to display)
7 GGRS evaluation comments Comments provided by Griffith Graduate Research School
8 Further information requested List of any outstanding documentation.

Freedom of information

While comment fields are not visible to candidates, it is important to remember that this information is available through freedom of information.

Application search

Enter the program, organisation and admit term.Choose Search. To view more detail, click View Applications for the relevant program. Choose View Evaluations to see more detail about the evaluation.

Approval page

1 Approval decision Select required decision from drop-down list.  Refer Decision Status table below.
2 Decision comments Mandatory for some decisions (eg Recommended with conditions)Not visible to applicant.
3 Declaration Identify if there is a conflict of interest.
4 Review / evaluation history Displays log of evaluation history including comments.
5 Submit decision Submit your decision and return to the worklist.  If recommending the application, all approval pages must be completed before submitting your decision.
Decision statusExplanation
Recommended Recommending candidature.
Recommended with conditions Application is recommended but applicant must meet certain conditions (eg  pathway program).  Decision comments mandatory.
Not recommended Unsuccessful Decision comments mandatory.
Push back Returns application to GGRS. Decision comments mandatory. Use if you are not the correct approver.
Put on hold Application remains in worklist. Decision comments mandatory.

Hint

If the application is recommended, all questions on all pages must be completed before submitting your decision.

Supervision page

1SupervisorsAdd / remove  / edit supervisors as required. Any supervisor/s nominated by the candidate will be identified as Proposed.
2WorkflowChoose Send request to send workflow to supervisor.Clear Use workflow checkbox if workflow is not required.
3Statistical informationUse (Search) to display the statistical tree. Type of Activity must equal 100%.

1 Load (%) The workload for internal supervisors must total 100%.
2 Administrative responsibility One principal supervisor must be identified with administrative responsibility.

Scholarship Eligibility Page

1 Eligible for a Scholarship? Indicate if applicant is eligible for scholarship.
2 Scholarship Eligibility Justification/ Comments Justify the applicant’s eligibility in accordance with the guidelines. Use the headings provided within the field to specify the assessment. This is Mandatory. Refer to example provided for information required.
3 Scoring for Scholarship Ranking Scholarship Scoring Scheme and Guidelines for each Group are available via the links.
4 Note of Further Information Requested

Note displayed only if applicant has any of the below listed requirements outstanding:

  • Confirmation of First Class Honours
  • Confirmation of Masters Degree
  • Internal Independent Assessment Required
5 Scholarship Scoring Criteria Assessment Enter a score or select an assessment reason for each scoring criteria item. Refer to your Group’s Scholarship Scoring Scheme and Guidelines. If there are any outstanding requirements, scores submitted will be provisional and will require review once outstanding items assessed.
6 Scoring Justification/Comments Justify your scoring in accordance with the Scholarship Scoring Scheme and Guidelines. This is Mandatory. Refer to example provided for information required.

For Deans

Split supervision

When the supervisory team are across more than one academic group, the Dean (Research) will initiate the  workflow to the participating Dean (Research).

Choose the Supervision page and Split Supervision Agreement tab.

1 Warning A warning box will display when the supervisory team is across more than one team.
2 Acad group The academic groups for each member of the supervisory team.
3 Send request Choose Send request to initiate the workflow to the participating Group Dean (Research).
