There are five main roles in the Course Profile System, each providing different levels of access:

  • System Administrator
  • School Administrator
  • Convenor
  • Moderator
  • Approver

System Administrator

Staff with the 'System Administrator' role (University level access) includes:

  • Student Credentials staff, including the Program Quality Assurance Officer (PQAO)
  • Student Management Solutions (SMS) staff

Access:

  • View and edit any course profile within the University
  • Edit content and settings for the University
  • Add and edit Graduate Attribute information
  • Edit 'Help' link maintenance and maintain dropdown lists
  • Send emails to Course Profile System users
  • Enter/edit School-level data to appear in all course profiles within a School
  • Withdraw published profiles in emergencies and reinstate them

School Administrator

Staff with the 'School Administrator' role includes:

  • Academic Support Officers (ASOs)

Access:

  • View and edit any course profile within their School/Department until the profile is published
  • Enter staff details and previous student feedback, until the Total Lockdown date
  • Enter School-level data to appear in all profiles within their School/Department
  • Clone profiles using the clone wizard
  • Publish profiles for public access
  • Withdraw published profiles in emergencies and reinstate them
  • Add notices to the Development board
  • Add notices to the Administrator board
  • Run access reports for the School/Department

Every School/Department has at least one Academic Support Officer, who possess the highest level of access to course profiles within their School/Department. The ASO can also be consulted for assistance with the Course Profile System.

To be granted this role, staff must seek approval from the Group Manager, then email the CMSO, Student Credentials at ecps@griffith.edu.au and provide their full name and staff number. The role is then granted via the 'Maintain Roles' process in PeopleSoft.

Convenor

Staff with the 'Convenor' role includes:

  • Course Convenors

Access:

  • Edit and submit course profiles, until the profile is published
  • Change the profile status to submitted
  • Post comments about the submission of their profile

ASOs will grant staff this role via the 'Course Offering Details' process in PeopleSoft.

Approver

Staff with the 'Approver' role includes:

  • Heads of School
  • Deans
  • Deputy Deans
  • Group Academic Services Consultants
  • Other approved nominee

Access:

  • View course profiles for a given School/Department
  • Responsible for the review and approval of the course profiles, once submitted
  • Access the development noticeboard where reviews and recommendations are posted prior to publishing

To be granted this role, staff must email the CMSO, Student Credentials at ecps@griffith.edu.au and provide their full name and staff number. The role is then granted via the 'Maintain Roles' process in PeopleSoft.

Moderator

Staff with the 'Moderator' role includes:

  • Program Directors
  • Technical staff

Access:

  • View profiles at the University level prior to publishing
  • Unable to edit profiles

This role will be granted to the relevant staff by the PQAO, Student Credentials via the 'Maintain Roles' process in PeopleSoft.
